How a Great App Platform Helps Support Our Data-Driven Non-Profit

  Fruits and vegetables are a beautiful thing. They’re nutritious and delicious. But nobody ever said they had to be perfect. However, to make it onto grocers’ shelves, produce needs to meet conformity standards. You’d be amazed at the amount of produce that goes to waste simply because it’s not pretty. A gigantic carrot or misshapen onion may be fresh and ready to enjoy, but everything needs to fit just right on a grocery store shelf. And if produce looks a little out of the ordinary it’s headed to the trash heap of history. Grocery stores reject ugly produce. Actually, this food might not even make it that far in the value chain. Knowing grocery stores won’t want it, distributors might not even try to sell it. Sometimes farmers don’t even harvest it in the field. But when they do, distributors and farmers may donate it to food banks. That’s where we come in. What We Do Brighter Bites brings the donated food to families who otherwise wouldn’t have access to fruits and vegetables. We bag it and add tip sheets on how to prepare it. Then we deliver it to families at schools in low-income areas in which affordable produce is hard to find. When families pick up their two bags of fresh produce, we stage food demonstrations and offer snack samples. We also provide recipe suggestions. These gatherings occur at 70 school locations, 16 weeks out of the school year, and during eight-week summer programs. The schools are in Austin, Dallas, and Houston, our headquarter city. Our employees and volunteers also stage demos and distributions at our new schools in Washington, D.C.; New York; and Immokalee in southwest Florida. Our 501c3 non-profit has 30 full-time and 20 part-time employees. We have hundreds of volunteers weekly – mostly parents from the schools, but also community members. And about 15,000 families are enrolled to receive Brighter Bites’ produce and services. A lot of people and resources need to come together to make the program work. But we’re happy to make it all happen, because providing fresh produce and related education to these families is the Brighter Bites mission. So we continue to work to bring our families these important sources of nutrition. And, as part of that effort, we strive to make our organization more efficient and data-driven. That’s where AppSheet comes in. The company now powers about 16 Brighter Bites applications. These applications mean our employees and volunteers can spend more time working with families and less effort on data entry. Data collected with AppSheet-powered apps also is more accurate. Plus, the AppSheet platform provides Brighter Bites and its donors with quick access to the most current information. And they help us in several other areas. I’ll tell you more about all our AppSheet-powered apps in a moment. But let me start by telling you what brought us to AppSheet in the first place. Brighter Bites keeps track of who attends and gets produce, recipe cards, and tip sheets (like how to slice an avocado) at our distribution events. We check in several thousand families on our roster weekly. The distributed produce changes based on what’s available. So we use a roster to track the contents of a standard bag on a given day. We also track the employees and volunteers working each event. Now that we’ve embraced AppSheet, we even track the weather on one of our apps. That helps us understand how storms and other weather events impact attendance at our events. Our Pain Point Prior to adopting AppSheet, Brighter Bites used Excel to track family attendance and bag pickups at our distribution events. Sometimes the spreadsheets were printed out, so workers had to re-enter the data later. That process was error-prone and inconvenient. Some of our schools are an hour or more from our offices, so data re-entry meant data wasn’t immediately available. Other times our workers used computers running Excel. So they spent a lot of time scrolling to the right column and row to input data. And they had less time to interact with our families. But data input errors and on-site inefficiencies were just part of the problem with Excel. Another major issue was that our data was so disorganized. It was everywhere. So creating reports was an extremely painful exercise. As a result, we typically compiled our data just once or twice a year. That meant if our leaders or donors had questions, we’d have to scramble to create a special report, or they’d just wait for the annual report. Brighter Bites is a data-driven organization, so this situation couldn’t continue. We like to know and show that we’re making a positive impact. And when our funding sources – whether it's a private donor or the Department of Agriculture – request information, we need to deliver. A Better Way So, having recently joined Brighter Bites, I decided it was time to centralize our data and improve out input process. We started out using Google Sheets. But then I found AppSheet and realized it was the perfect match for our attendance rosters. AppSheet greatly improves data entry and editing, and access to data. And AppSheet apps can run on a laptop, a PC, or a smartphone. AppSheet allows for quick and easy field-based data input. If no connection is available at a school, it syncs the data when connectivity becomes available. And it offers workflow features like notifications, which are really great. The Power of Notification A big part of my role at Brighter Bites is program fidelity. That means making sure we’re implementing our program correctly and in the same way everywhere. So I like to provide tools to our leadership team that offer updates on our programs in each city. Notifications enable that. We also do a survey at every school distribution. After someone at the event submits the survey, the AppSheet notification feature delivers it to the person who filled it out and to his or her supervisor. It comes to them instantly via email, so they don’t have to search for it. Notifications also allow us to send alerts when we add a new produce items or tipsheets. The roster, our initial AppSheet-enabled solution, and the daily site survey are our two primary AppSheet apps. All our workers use these data-specific apps, as we call them. We also now run various internal apps and research apps on the AppSheet platform. That includes internal apps that allow our employees to request data from our marketing team or help from out IT team. For example, if someone at Brighter Bites is preparing a speech or getting ready to be interviewed by local media, they might use the app to request talking points from our marketing folks. And if a Brighter Bites employee is having computer problems, he or she can use the app to find someone in IT for assistance. This app makes it much faster and easier for people to access the resources they need when and where they need them. Our research apps, meanwhile, help us better understand the effectiveness of our program. Here’s one example of a research effort AppSheet is helping enable. Fifth graders at select schools have enrolled in a study through which we track what they select, eat, and trash for lunch during the school day. We post four research staff in the lunchroom to record this information – one to enter the data and the others help with observation and ensure entered data is correct. The aim is to help us understand whether and to what extent our program is prompting the children of our families to eat more produce. Between 40 and 50 people use our internal applications, 30 to 40 use our data-specific apps, and about 10 use the research apps. They are used every day, constantly. I mentioned we’re in 70 schools, well we’re probably active in 40 or 50 of them at a time. I built nearly all of these applications. For some of them, like the IT help system, I used an AppSheet sample app to get started. Others I created from scratch. In fact, I built so many apps that some people were challenged to keep track of them. It’s funny, I feel like every time I have a problem, AppSheet a week before I contact them about it introduces a solution. In this case the solution was App Launcher. App Launcher is a single app through which people can access other apps, group the apps and sort them by access. People love it. And it helps me too. If I have an update, I just do the update in App Launcher. What’s Next As you can see, we’ve already created a strong stable of apps using AppSheet. But we just keep coming up with great new ways to use the platform to support our efforts. For example, I’m creating an app so we can send customized messages to our families. We plan to use this to inform our families what to expect at select events. News of a specific demo, or that we’ve added a certain fruit or vegetable to our bags, may prompt a family to make the trip out to an event. The app, which will also leverage Google and Twilio technology, will also support one-on-one conversations. That way if a family is running late and needs us to hold their bags, we can do that. We’re also working to introduce a new roster app notification to deliver alerts to our families when they check in at our events. The alerts might be something like “You attended two bag pickups this season. That’s more than 100 servings of produce you’ve received!” I’ve been using the AppSheet platform for a while now. And, as you can probably tell, I’m still pretty excited about it. Here’s why I love AppSheet. They don’t stop releasing new features. With other tools, you buy into it, and there’s silence. But AppSheet continues to innovate. The AppSheet platform has so many uses. The way we work now is that if a need arises, we say “Can we do that within AppSheet?” The answer is almost always yes. One App, Many Uses! How to Make an App to Manage Questions Asked in Webinars, Conferences, and Training Sessions

I bet you’re reading this post because whatever profession you are (marketing operations manager, conference organizer, learning and development specialist, teacher, HR manager, etc.), you have one thing in common: the need to effectively communicate. As a marketing manager, I am faced with the same issue. I am communicating all the time about all kinds of things and staying organized is key. Believe it or not, an app can help you with that! In this post, I will show you how to make a communications app. Full disclosure: For those who are new to AppSheet, this app was originally made by Santiago Uribe, AppSheet’s VP of Product. We use this app every Thursday to manage the many questions we get during our wildly successful Ask Office Hours webinars (register here). As with most of the apps we create, this app can be customized to do all sorts of things. Read on to learn about the app and how you can copy and customize it to make it your own. How to Submit Questions In this app, the Post View (shown below) is how questions are submitted. Keep in mind that you want people to ask questions. So any question submission form must be as simple as possible. Besides Name, Question and Publish, I also include the Question Topic field so that I can monitor the most popular topic categories. How to Manage Questions In this app, the Moderate View is the screen where questions are managed. Of course, attendees don’t need to see this view as it’s meant for the organizer who is tasked with moderating duties. As a result, you will have to grant access permission to those users you want to see this view. To grant permission, go to UX→ Views→ Show If. For example: CONTAINS(USEREMAIL(),"@1track.com") means only people whose email contains @1track.com can see this view. This view organizes questions by the time they were posted and shows the number of votes each question received, whether it was published or not, and the actual question. When clicking on an unpublished question, moderators can take the following actions: publish the question, mark it as answered, or highlight or tweet the question. How to Answer Questions The Question Dashboard View is a dashboard view of all published questions, displaying the question, submitter first name and topic. Just like the Moderate View, you can grant access permissions to see it in UX→ Views→ Show If. That way only certain people can see this View and take action on individual questions. The Question Dashboard View display is dependent on the device you’re using. In a web browser on your laptop or workstation, whenever you click on a question, you will see Available Questions and the Question Details View side by side. On a tablet, whenever you click on a question, you will see Available Questions on the top and Question Details on the bottom. What about Pending Questions? The Pending View displays all published but unanswered questions and enables the audience to vote and comment on questions asked by other people. There are other app customizations you may want to include, such as: Video View: Link questions answered to relevant videos. Topic View: Use a chart to show what topics are the most popular. Feedback View: Ask the audience to submit feedback after the webinar. Notification: Send an SMS or email to the appropriate person when their question is answered. How AppSheet’s App Maker Platform Transformed My Event Management Business

Picture a large-scale event like a music festival or road race, where thousands of people are packed into a small area. Managing this type of event requires a tremendous amount of communication and coordination between security and medical teams, volunteers, vendors and event planners. Strong communication can mean the difference between hosting a successful event and a disaster. While cell phones may seem like the preferred communications technology for this type of event, the truth is that walkie talkies actually offer several advantages — and so they are still being widely used today, especially by law enforcement and emergency response teams. Walkie talkies, for instance, operate using radio frequencies instead of cell towers making them much more reliable. They are also more durable, secure and affordable. The global walkie talkie market is actually booming and is set to grow at a compound annual growth rate (CAGR) of 9.47 percent from 2017 until 2021. At Dallas Mcintosh Professional Services, where I work as a radio frequency and communications engineer, we help our clients by providing, distributing and managing walkie talkies for them. Some events can have upwards of 600 or more walkie talkies in operation at a single time. The Challenge As you can imagine, getting radios back at the end of an event can be an absolute nightmare — especially when people are tired and want to go home, and do not want to go through the hassle of returning something. Our team was losing walkie talkies left and right, and so I needed to find a way to streamline the collection process. Two-way radios, after all very expensive and the ones that we are using (most often Motorola, Tait or Hytera) typically cost about $600 to replace. They are also very difficult to replace and not quite as simple as going on Amazon and finding a cheaper solution. For my company, the value of a radio is actually worth more than this because of the potential revenue that each device holds. In other words, these items don’t sit for very long. They are turned around quickly, reprogrammed and passed along to another customer. So a single loss can have serious operational and financial implications. To address the problem I created a spreadsheet and this worked fine at first, until other team members started helping and unintentionally deleting unrecoverable information. So, I decided to create a relational database in Microsoft Access. This worked well, and allowed me to send emails to equipment users. However, it was still very buggy and far from user friendly. I also struggled to find a cost-effective barcode scanner to interface with my database, and was left with a semi-working model that appeared to be working fine, but actually had many limitations. In my mind, I envisioned a system that could be easily managed by using a mobile phone or tablet. After all, a smartphone camera is capable of scanning even the smallest of barcodes using autofocus. The next step was to create an app even though I have little to no coding experience. So, I embarked upon a frantic Google search and I discovered AppSheet’s app maker platform. The Solution AppSheet is unlike anything else I have experienced. It’s based on spreadsheets and is very simple to use. What’s interesting about AppSheet, too, is that it’s not just a service but a full-fledged community. Plus, the system is always improving. Just when I think AppSheet can’t get any better, the team introduces a new game-changing feature. Here is an example of what I have been able to accomplish using AppSheet. I was recently working on a high profile event, where we had 620 radios issued. We lost only one using an app I made, which was tracked to the user and subsequently recovered. The event that I am referring to was the 2017 International Association of Athletics (IAAF) World Championships, which took place this past summer in London Stadium. I was responsible for the radios and accessories, which were issued over a period of 6 weeks. All of this was easily managed from my iPhone and it worked beautifully. The camera on the phone is the most effective barcode scanner I have ever used and the actions to call text and email kept me in contact with my clients and able to offer support while on the move. My colleagues were also able to monitor operations through a Web browser and proactively respond to issues like getting extra stock to me on-site. Workflow emails kept the operation pretty much carbon neutral and paperless in the absence of the need for receipts. There was zero loss in assets at the end of the event, which is highly unusual on a large event. Interest in the app has since led to me being in discussions with other suppliers on an exciting development, the details of which I cannot discuss for commercial reasons but watch this space!

From conferences, open houses and fundraisers to weddings, birthday parties, and holiday get togethers, events take a ton of planning. You may be the event coordinator for your organization or you just throw a killer family gathering, but you still need to stay on budget, keep to a timeline, order decorations, and keep track of so much more. Budget A mobile app can help you to stay on budget as you shop around town to meet with a florist, get quotes on programs, menus or posters, pick out decor, or taste test the caterer’s delectables. Contacts and Committees Lists Many times it takes an army to put on a large event and a contact directory app can be priceless. You can have volunteer lists broken down by job and include contact information including the aforementioned caterers, florists, printers, rental companies, guest speaker, facilities manager, AV company... and you’ll want them all to be on the same page. “Pre-planning is everything, so consider having a meeting with all of your vendors prior to your event so you can hash out every small detail before it’s go-time.  It’s the perfect opportunity to talk over a timeline and get everyone on the same page,” suggests Festivities Catering.  You’ll want these all in one app location the day of the event in case a vendor doesn’t show up on time, if your guest list changes, or for any potential problems that may (and usually do) arise. Email Notifications This app is perfect for large teams where the event planner has to keep track of various members in charge of different jobs at off site locations. With a simple form, you can request updates on whether the job was completed, when it was completed, if there are any questions or comments, time spent, money spent, or any other specific details that the team needs to track. Lead Tracking The primary purpose of most of these types of events is to meet new potential clients or donors, grab their information, and make a great impression. With the right apps already on your phone you can add contact information, personal notes, products or services they want more info on, secure a future meeting date, or process a  donation (for nonprofits) via an order capture feature.  Before you even attend your event, you should have a plan in place on how you want to follow-up with the attendees. This will guide you on capturing the right information and photos to continue the relationship. Randy Hawthorne, publisher and executive director for Nonprofit Hub advises, “Long before your event even comes around, you’ll want to develop a follow-up plan that allows you to connect with every attendee, thanking them for coming and giving them another opportunity for engagement. Your plan could include several components, including follow-up calls, handwritten thank-yous, an email blast, posting event pictures on your social media pages or highlighting an event video on your website.
